Account information and app data

SteadyStateApp is an educational and wellness app. It is not a medical device and does not provide medical advice.

SteadyStateApp stores account information, profile preferences, saved care plans, assessments, and uploaded files using Google Firebase Authentication, Firestore and Storage. Account information may include your name, email, profile image, SRNA or CRNA role, school, program year and dates, interests, stressors and personality analysis you provide. Apple Sign In and Google Sign In use the respective provider and Firebase to authenticate your account and may provide account information such as your name and email.

Wellness reflections and logs, schedules and some preferences are stored on your device. Mentor chats, Wellness Pulse activity (the pillars you completed each day and any rest days), your Question of the Day answers, and your Mentor companion's model, accessories and name are stored with your account in Firebase so they are available on each device where you sign in. Your Mentor chats are visible only to you. You can turn off Mentor chat syncing in Settings, which removes the account copies and keeps chats on each device, and you can delete a single chat or all Mentor chats at any time. Wellness Pulse uses your recorded activity to display personal summaries. XP, streaks, achievements, notification settings, saved Clinical preferences and user-created care plans may also be stored in Firebase. Some display preferences are stored on your device.

Community and direct messages

Community posts, comments, replies and uploaded media are shared with the relevant community; pod names and descriptions are discoverable by signed-in members. Huddle stores friend requests and accepted friendships for the two participating accounts. Huddle direct-message text and photos are stored in Firebase for the conversation participants, together with participant identifiers and display information, conversation previews, delivery records, and read, unread, mute and archive state. Reports and blocking records support community safety.

Optional AI processing

When you allow AI sharing, messages and conversation history, provided context, case/simulation inputs, and documents you select for personality analysis are sent to Google Vertex AI through Firebase to generate responses. Do not submit patient identifiers or confidential clinical records. Permission can be withdrawn in Profile; withdrawal stops future requests that share this information and does not erase information already processed. General educational questions and fixed wellness scripts may also be generated using Google's AI services without sending your personal messages or documents.

Notifications

When notifications are enabled, SteadyStateApp associates a device installation identifier and Firebase Cloud Messaging (FCM) token with your account to deliver notifications through FCM and, on Apple devices, Apple Push Notification service (APNs). We also store notification preferences, registration update times, and in-app notification and read status where applicable.

Notifications may include the sender's name and a preview of message text, or a notice that a photo was sent, depending on your message-preview settings. Previews may be visible on your device's lock screen according to your device settings. You can adjust notification and preview preferences in the app and notification permissions in device settings. Signing out attempts to remove that installation's registration; account deletion removes your active server-side push registrations.

Support and research access

Your profile, assessments and account records can be accessed by authorized administrators for app support and, for enrolled participants, the research study. Research participation and any required consent are separate from permission to use AI. Contact the study coordinator about research participation or withdrawal.

Account deletion

Account deletion removes the data stored with your account, including your Mentor chats, Wellness Pulse activity, Question of the Day answers and Mentor companion settings.

Use Delete Account in Profile to request deletion of your account, private records, uploads and authored community content. Memberships and reactions are removed; a pod with remaining members is transferred to a remaining member.

Account deletion removes your authored direct messages and your private-message uploads. Other participants retain their own messages and photos in a read-only history labeled Deleted User. Your participant identifier, cached name and avatar, old conversation identifier, message previews and delivery records are removed from the retained history. Another participant's own message text or independently saved copies may still refer to you. Notifications already delivered to other devices cannot be recalled.

Your active push registrations and user-specific notification records are removed. A restricted deletion-status receipt is scheduled for deletion after seven days to support safe retries. Temporary migration references are removed when deletion completes. Deletion failures are shown so you can retry or contact support. Local app data is cleared on the device completing deletion; copies on other devices or held by other people are not remotely erased by this action.

Analytics and diagnostic event data collected by Google Firebase Analytics and Firebase Crashlytics are retained according to standard Google Firebase service retention periods, after which they are automatically expunged.

External services

External videos, documents, images, audio and links are served by their providers, including YouTube, Google's document viewer and external image/audio hosts, which receive connection information when your device loads those resources. Review their privacy policies before sharing information. The app uses Google Firebase Analytics and Firebase Crashlytics to monitor application stability and aggregate feature engagement. Analytics collection respects your in-app analytics preferences and does not collect research assessments, survey answers, psychological scores, or private chat/journal content.
